  • With the Council lift up the core values affirmed by the Presbytery (transformational, Spirit-filled, missional, relational, faithful to Christ, and trustworthy) and to:
    • Affirm and celebrate congregational mission
    • Help congregations to discover, define, and do mission
    • Support and equip pastors and laity
    • Facilitate communication and dialogue
    • Foster partnerships and connections among congregations

and other Presbyteries

  • Provide leadership development for the Presbytery through seminars, workshops, and Presbytery Assemblies
  • Provide leadership in vision casting and strategy, change management and adaptive leadership
  • Serve as resource, consultant and coach for the Moderators of Presbytery and Council and other leaders of Presbytery and facilitate the executive team meetings of Council
  • Provide support for COM and Healthy Congregations
    • Serve as coach and consultant for COM chairs and members as well as providing leadership development
    • Serve as team leader for Healthy Congregation Facilitators and provide on-going training
  • Provide support for pastors and provide pastoral care
    • Arrange for regular gatherings of pastors
    • Arrange for time-limited study groups in various areas of the Presbytery
    • Develop and work with the Clergy Care Team to provide pastoral care and crisis care for pastors
  • Provide direct resourcing to congregations and arrange for gatherings for mutual support, fellowship, and teaching
  • Relate to General Assembly, Synod, other Presbyteries and agencies of the PCUSA, and ecumenical partners
  • Serve as Head of Staff of the Presbytery staff

  • Provide administrative and clerical support to the Interim Executive Presbyter
  • Receive phone calls and visitors to the Presbytery Mission Support Center and ensure availability of supplies for daily hospitality
  • Coordinate the Presbytery master calendar (staff calendar, building usage, committee meetings, Presbytery special events)
  • Update the database and website on a regular basis
  • Maintain files (Church, Minister, Presbytery) including minutes (paper and electronic), directories, memberships, equipment manuals and directory of files
  • Receive and post all mailings
  • Prepare and distribute Thursday thoughts, quarterly mailings, the directory, and other communication functions
  • Special events registration as directed by head of staff
  • Maintain office procedures; order supplies and arrange for equipment maintenance
  • Ensure basic maintenance of office building and grounds takes place
  • Under the guidance of the Executive Presbyter, coordinate the work of all part-time, temporary, and volunteer office personnel

Ordinarily the first Tuesday of month and monthly staff meeting

  • Fulfill the responsibilities of Stated Clerk including ecclesiastical communications, recording and preservation of minutes, maintenance of rolls and lists, maintenance of records including Presbytery Policy Manual and Committee on Ministry policies and all other polices of the Presbytery
  • Advise the Presbytery on constitutional and parliamentary matters
  • Preparation and arrangements for Presbytery Assemblies including registration, preparation of docket and materials for Assembly, host church arrangements
  • Maintain the roll of churches, ministers, candidates/inquirers under care of Presbytery, commissioned lay pastors and lay preachers, clerks of session and current session members through database and ensure that PMSC has current information to maintain
  • Provide a current list of minister members, including dates of ordination, reception into the Presbytery and the years in which ministers previously served as commissioners, for the Committee on Nominations through database and ensure that PMSC has current information to maintain
  • Orient and oversee Administrative Commissions and ensure completion of their work
  • Provide training manual for clerks of session and oversee review of session records
  • Assist ministers, elders and sessions and members of Presbytery in constitutional matters at their request
  • Serve as member of Presbytery staff team

  • Serve as signer for checks for payments and review documentation as prepared by the Bookkeeper
  • Oversee Presbytery’s accounting and bookkeeping system with Finance subcommittee and Executive Presbyter
  • Oversee all Presbytery investments in conjunction with Council’s Finance Subcommittee
  • Oversee reconciliation of checking accounts
  • Present quarterly financial report to Council and Presbytery and have current budget information available at Presbytery meetings as provided by the Bookkeeper
  • Present financial information and report to Presbytery at its first Assembly of the year as provided by the Bookkeeper
  • Provide financial information to Finance Subcommittee for annual budget preparation through Bookkeeper
  • Present all accounts for the annual financial review or audit through Bookkeeper
  • Provide all sessions  with annual per capita apportionment prepared by the Bookkeeper and asses periodically throughout the year through the Bookkeeper
  • Keep Presbytery updated with information about Social Security and other state and federal regulations

·         Keep a separate set of accounts for each presbytery.

·         Keep each presbytery’s accounting and bookkeeping in order.

o   General ledger of all accounts and committee budget items

o   Cash deposits, cash receipts and disbursements journal

o   Set up and monitor payroll and entry of payroll information into bookkeeping systems

o   Set up and file federal and quarterly tax report

o   Cash management and checking account reconciliation in cooperation with the Presbytery Treasurers

o   All accounts payable and committee expenses

o   Prepare checks for signature of Presbytery authorized signers (or imprint authorized signature on checks)

o   Monitor payment of ‘per capita apportionments’ and “unified mission giving” from churches and forward to Synod and General Assembly and Presbytery Mission Treasury Service

·         Prepare all financial reports for the presbytery and its committees on behalf of the Presbytery Treasurers.

·         Deposit and/or transfer presbytery funds in accordance with the guidelines from presbyteries or authorized presbytery groups.

·         Maintain records (receipts, vouchers, etc.) and documents as necessary to support payments made and the financial management procedures in effect.

·         Receive and disburse funds in response to registrations and appropriate vouchers.

·         Provide the Budget and Finance bodies in each presbytery with the necessary information for the preparation of the budget and financial reports.

·         Prepare and maintain records of churches’ mission giving and send regular statements to the churches.

·         Consult with the individual treasurers as necessary to accommodate the specific needs of each presbytery as deemed appropriate by your supervisor.

·         Cooperate with the consultant in the initial establishment of the system.

·         Respond to any other directions given by your supervisor in relation to the bookkeeping system.
